Three Signs Your ISO System No Longer Reflects Your Business

Your business changes. People leave, new services start and customers expect different things. If your management system still describes last year’s operation, it can give you false confidence.

Consultant reviews an internal audit and action plan beside an ISO certificate on the wall.

1. The documents describe people and processes that have changed

Choose one live job and ask the people doing it to show you the process. Compare their explanation with the current procedure. Does it name the right owner? Does it include the new site, equipment or subcontractor? Can staff find the version they need?

For example, a purchasing procedure might still send approvals to a manager who has left. The useful action is to agree who can approve purchases now, update the procedure and make sure the team understands the change.

2. The same problem returns after the action is closed

A closed corrective-action entry does not tell you whether the problem was solved. Follow a recurring complaint or missed check from the original finding to the action taken and the later evidence.

If order details are still being missed after staff were reminded to be careful, review the handover and the checks built into it. Give the improvement an owner and a date, then check a sample of later orders to see whether it worked.

3. The system is only used when an audit approaches

Look at the information managers actually use: complaints, rework, supplier performance and operational risks. Does your system help them make decisions, or does it sit in a separate folder until an audit is booked?

Start with one process that causes delays or repeated mistakes. Keep the documents usable and the measures relevant to the decisions your team needs to make.
